Case study – Hever Castle

Hever CastleHever Castle was once the childhood home of Ann Boleyn, second wife of Henry VIII.  Located in Kent, it is set in magnificent gardens – from the majestic formal Italian Garden and topiary, to the informal meanderings of the lakeside and Sunday Walk.

Challenge

Hever Castle employs over 150 staff, a large number of whom are seasonal workers, employed solely during the public opening months.

This caused a particular strain on the HR team in February of each year, both during the interview stage and in the preparation of employment contracts for successful applicants.

Hever Castle management required an efficient solution to deal with this situation within the existing HR team.

The solution

DPL Professional worked with Hever Castle to deliver a customised desktop system tailored to its particular needs.

DPL Professional initially carried out a workshop with members of the Hever Castle HR team to establish an overview of the procedures used in the existing process of interview appointments and letters, and the preparation of employment contracts.  Drawing on its extensive experience in the supply of such systems, DPL Professional proposed a system to streamline, control and automate the process to meet the challenge.

Through the interactive questionnaire the system handles all aspects of the employment process, for both permanent and seasonal staff, and automatically and intelligently produces relevant documentation including:

  • Job application forms
  • Interview appointment letters
  • Letters requesting references
  • Letters of rejection
  • Letters of offer
  • The appropriate employment contract

The system records all relevant personal details of the applicant, including qualifications and previous employment, and automatically applies the appropriate business rules to ensure that every Employment Contract is correctly tailored to each individual employee and their particular appointment.
